We are currently recruiting for a PA/Administrator on behalf of one of our elite construction/facilities clients based in Brentwood in Essex.
Hours are either 8.00am - 5pm or 9.00am - 6.00pm (Monday to Friday)
Minimum of 3 years' experience in a similar role
Devising/maintaining office systems, including data management and filing
Screening phone calls, enquiries and requests, and handling them when appropriate
Meeting and greeting visitors at all levels of seniority
Organising and maintaining diaries and making appointments
Dealing with incoming email, faxes and post, often corresponding on behalf of the manager
Carrying out background research and presenting findings
Producing documents, briefing papers, reports and presentations
Organising and attending meetings and ensuring the manager is well prepared for meetings
Liaising with clients, suppliers and other staff.
Carrying out specific projects and research
Working more closely with management if taking on some of the manager's responsibilities
Being involved in decision-making processes.
Review all documentation issued for signing and query discrepancies as required.
Sort assigned post and deal with routine enquiries and confidential correspondence, drafting replies where possible.
Manage the day-to-day schedule of the assigned team and executives, organising and scheduling meetings, proactively identifying priorities and commitments and coordinating appropriately.
Perform comprehensive administrative and secretarial duties which may include organising travel arrangements, coordinating and setting up meetings and special events, welcoming and directing visitors
Liaise effectively with a range of internal and external staff, acting as a first point of contact for all internal and external inquiries

Prioritise and multi task and think on your feet
